Best Accounting Software for Small Business (2026): 5 Picks and Real Costs
An accountant compares QuickBooks Online, Xero, Zoho Books, FreshBooks and Wave on real two-year costs, users, payroll and fit, with US prices checked November 2026.
So, you’ve opened five lists of the best accounting software and got five different answers. One says QuickBooks, another says Xero, a third says free is all you need.
I’m an accountant, I’ve worked in all five products below, and I’ll show you what each one really costs once the intro discount runs out. That’s the number most lists skip.
I cover QuickBooks Online, Xero, Zoho Books, FreshBooks and Wave, using US prices. If you’re in the UK, Australia or New Zealand, there’s a short section for you near the end.
Quick answer
- Best overall for a growing business: QuickBooks Online Essentials ($85/mo, 3 users).
- Best if several people need access: Xero Growing ($59/mo, unlimited users).
- Best value on a budget: Zoho Books Standard ($15/mo billed yearly, 3 users).
- Best for freelancers and service businesses: FreshBooks Plus ($43/mo).
- Best free option: Wave Starter, or Zoho Books Free if your accountant needs access.
Prices last checked
US list prices checked on each vendor’s pricing page on 1 November 2026. Offers change often, so confirm on the vendor’s site before you buy.

Here’s the honest truth: the right one depends on three things. How many people need to log in, whether you want payroll in the same place, and what you can afford in month four, when the discount ends.
How I Chose
I have accounts in all five products and I’ve worked in each of them myself. Prices and plan limits come from each company’s official US pricing page, and I say so wherever a point comes from the vendor rather than from my own use.
I judged every product on the same seven things:
- Accounting depth: invoicing, expenses, bills, bank reconciliation and reports.
- Real cost over two years for a three-person service business, intro offer included.
- Users and accountant access: do you pay per login?
- Payroll: built in, an add-on or missing, and the cost for five employees.
- Inventory, for anyone who sells physical products.
- Plan limits that could force an upgrade within a few months.
- Room to grow from one person to a team.
The full method is on how I test accounting software.

1. QuickBooks Online: Best Overall for a Growing Business
QuickBooks is the one your accountant probably already knows. That matters more than you’d think. You can add users, payroll and inventory as you grow, without ever switching software.
Pricing
| Plan | Price | Users | Good to know |
|---|---|---|---|
| Free | $0 | 1 | One bank connection and a small monthly invoice limit |
| Simple Start | $38/mo | 1 | Core bookkeeping and invoicing |
| Essentials | $85/mo | 3 | Bills and time tracking. Most small businesses start here |
| Plus | $140/mo | 5 | Adds inventory and project tracking |
| Advanced | $340/mo | 25 | For larger teams |
Drawn from the table above. Lowest price highlighted.
Here’s the maths for three people on Essentials. Three months at $42.50 is $127.50. Nine months at $85 is $765. That’s $892.50 in year one, then $1,020 a year from year two.
QuickBooks Payroll is $50 a month plus $7 per employee. For five employees, that’s $85 a month, or $1,020 a year.
Pros
- Your accountant most likely already uses it.
- Inventory tracking from the Plus plan up.
- A new free plan for one-person businesses just starting out.
Cons
- Per-user plans get expensive as your team grows.
- The discount only lasts three months, so month four can be a shock.
- The free plan’s limits are tight: one bank connection and very few invoices.
Choose QuickBooks if
You want the software your accountant uses, you’re hiring, and you need inventory. If you hate per-user fees and expect a bigger team, Xero usually works out cheaper.

2. Xero: Best if Several People Need Access
Xero’s big advantage is simple: every plan includes unlimited users. If you’ve got a co-owner, a bookkeeper and an accountant who all need to log in, that saves real money.
Pricing
| Plan | Price | Limits |
|---|---|---|
| Early | $27/mo | 20 invoices and 5 bills a month |
| Growing | $59/mo | Unlimited invoices and bills |
| Established | $97/mo | Adds multi-currency, projects and expense claims |
Drawn from the table above. Lowest price highlighted.
Xero raised its US prices on 1 October 2026: Early went from $25 to $27, Growing from $55 to $59 and Established from $90 to $97. Plenty of articles still quote the old numbers.
With the 80% partner offer, three people on Growing pay $11.80 a month for six months ($70.80), then $59 a month for six months ($354). That’s $424.80 in year one, then $708 a year.
Xero Payroll, powered by Gusto, is $36 a month plus $6 per person. For five employees, that’s $66 a month, or $792 a year.

80% off Xero for 6 months
For organisations new to Xero, on any plan, until 31 March 2027. No code needed: the discount applies when you sign up through the link.
Pros
- Unlimited users on every plan.
- Free accountant access, and most accountants outside the US already know it.
- Bank reconciliation is quick and clear.
Cons
- Early’s 20-invoice cap is tight, so most people move to Growing quickly.
- Multi-currency needs Established.
- Support is online, not by phone.
Choose Xero if
You’re building a team and don’t want per-user surprises. Once you have a few people, Growing usually beats QuickBooks Essentials on price. Working alone? QuickBooks Simple Start may suit you just as well.

3. Zoho Books: Best Value on a Budget
Zoho Books has the cheapest paid plans here, and a free plan that’s genuinely useful. If you already use other Zoho apps, that’s a bonus.

Pricing
| Plan | Monthly | Billed yearly | Users | Invoices a year |
|---|---|---|---|---|
| Free | $0 | $0 | 1 + your accountant | 1,000 (revenue under $50,000) |
| Standard | $20 | $15/mo | 3 | 5,000 |
| Professional | $50 | $40/mo | 5 | 10,000, plus inventory |
| Premium | $70 | $60/mo | 10 | 25,000 |
| Elite | $150 | $120/mo | 10 | 100,000, advanced inventory |
| Ultimate | $275 | $240/mo | 15 | 100,000 |
For three people, Standard billed yearly costs $180 a year, and the price is the same in year two. Need inventory? Professional is $480 a year.
Payroll isn’t part of Zoho Books itself. Zoho sells Zoho Payroll as a separate product, so check it’s available in your state and get a price before you commit.
Pros
- The free plan is real, and includes accountant access.
- Inventory comes with Professional, not as an add-on.
- No intro offer to wear off, so year two costs the same.
Cons
- Payroll is a separate product with its own pricing.
- Support is email and chat, not phone.
- The screens are busier, so it takes longer to learn than Xero.

4. FreshBooks: Best for Freelancers and Service Businesses
FreshBooks is built for people who bill clients for their time: consultants, designers, agencies. Invoicing and time tracking come first. Accounting depth comes second.
Pricing
| Plan | Price | Billable clients |
|---|---|---|
| Lite | $23/mo | 5 |
| Plus | $43/mo | 50 |
| Premium | $70/mo | Unlimited |
| Select | Custom quote | Unlimited, 2 team members included |
Say you’re on Plus with two team members. Four months at $8.60 is $34.40, eight months at $43 is $344, and the two team members add $264 over the year. That’s $642.40 in year one and $780 in year two. I’ve assumed the offer doesn’t cover team members.
Payroll through Gusto is $40 a month plus $6 per person.
Pros
- Time tracking is built in.
- Clean invoices your clients will actually understand.
- You pay only for the team members you add.
Cons
- Client limits push you up a plan quickly: Lite stops at 5, Plus at 50.
- Reconciliation and reporting are lighter than in Xero or QuickBooks.
- Fewer accountants work in it day to day.
Choose FreshBooks if
You bill by the hour or by project. If you need inventory, multi-currency or deeper reporting, look at Xero or QuickBooks instead.

Wave’s Starter plan is free and works well for a solo owner with no staff. If you need more, Pro is one of the cheapest paid plans on this list.

Pricing
- Starter: $0, with unlimited invoicing.
- Pro: $19 a month, or $190 a year. Adds automatic bank imports, extra users, payment reminders and lower card processing rates.
On Pro billed yearly you pay $190 in year one and $190 in year two. Wave Payroll is $40 a month plus $6 per employee, now with tax filing in all 50 states (Wave pricing).
Pros
- Starter really is free, with unlimited invoicing.
- Pro is one of the cheapest paid plans here.
- Payroll costs the same in every state.
Cons
- On Starter you enter or upload bank transactions yourself.
- Reporting is basic.
- No inventory.
Choose Wave if
You work alone, have no staff, and send a modest number of invoices. Once you hire or your volume grows, plan to move to one of the others.

What You Will Really Pay: Year One vs Year Two
Intro offers feel great for a few months. But the year-two price is the one you’ll live with.

| Software | Plan | Year 1 (with offer) | Year 2 (full price) | Two-year total |
|---|---|---|---|---|
| QuickBooks Online | Essentials, 3 users | $892.50 | $1,020 | $1,912.50 |
| Xero | Growing, 80% partner offer | $424.80 | $708 | $1,132.80 |
| FreshBooks | Plus + 2 team members | $642.40 | $780 | $1,422.40 |
| Wave | Pro, billed yearly | $190 | $190 | $380 |
| Zoho Books | Standard, billed yearly | $180 | $180 | $360 |
The offers matter: they save $127.50 on QuickBooks and $283.20 on Xero in year one. But even at full price, Xero stays cheaper than QuickBooks for a team of three. Zoho and Wave don’t discount, so they cost the same both years.

Frequently Asked Questions
What is the best accounting software for a small business?
For most growing small businesses, QuickBooks Online is the safest all-round choice because most accountants know it. If several people need to log in, Xero is usually better value because every plan has unlimited users. On a tight budget, Zoho Books Standard costs $15 a month billed yearly.
What is the cheapest accounting software?
Wave Starter, Zoho Books Free and QuickBooks Free all cost $0. For a paid plan, Zoho Books Standard ($15/mo billed yearly) and Wave Pro ($190 a year) are the cheapest on this list.
Do I need an accountant to use accounting software?
No. QuickBooks, Xero and Zoho Books handle day-to-day bookkeeping on their own. An accountant is still worth it at tax time, and for a one-off check that your setup is right. New to bookkeeping? Start with my small business bookkeeping guide.
Can I switch accounting software later?
Yes, but it takes time. Plan for a few hours of exporting, importing and checking balances. That’s why it’s worth picking carefully now.
Will the software file my taxes?
No. It organises your income and expenses. Your accountant or tax software files the return.
Is payroll included?
Usually not. QuickBooks, Xero, FreshBooks and Wave sell payroll as an add-on, from $66 a month for five employees on Xero. Zoho sells Zoho Payroll as a separate product.
Can I cancel any time?
All five offer month-to-month billing, with no long contract. Some give a discount for paying yearly.

My Verdict
QuickBooks Online is the safe, scalable choice your accountant probably knows. Xero is smarter if more than two people need access. Zoho Books is the value pick. FreshBooks suits anyone who bills for their time. Wave is for solo owners who want to pay nothing for now.
Here’s what I’d do: take the free trial of your top two, and run one real month of invoices and a bank reconciliation through each. You’ll learn more in an afternoon than from any comparison, this one included.
